To provide confidential administrative HR support and first-level advice on people related issues to PROCAT staff. The HR team undertakes a range of HR procedures and processes including recruitment, absence management, performance management, employee relations, on boarding, undertaking background checks and conducting other HR related administrative duties.
First point of contact for all staff/line managers across all 3 PROCAT campuses for HR related enquiries.
Liaising with Heads of Department/Line Managers on a daily basis, providing HR advice and guidance on company procedures/employment law etc.
Working with the In-House recruiter on the recruitment of staff, liaising with candidates to arrange interviews, overseeing competency testing, preparation of contract of employment documents and safer recruitment checks, raising DBS applications, undertaking right to work checks and seeking employment references.
Management of on boarding process, including new starter induction presentations.
Maintaining accurate follow up system for staff related processes such as probationary periods, performance management.
Maintain and update HR system ensuring that the college is utilising the most efficient processes and training new starters on the use of the system.
Responsibility for managing the disciplinary/grievance and poor performance processes which include assisting with the initial investigative meetings, note-taking at meetings and offering advice in line with employment law, best practice and college procedures.
Maintaining staff absence records in accordance with the college procedures and preparing Bradford Factor calculations. Liaising with senior managers and Occupational Health when necessary.
Responsibility for liaising with Accounts for payroll changes/updates on a monthly basis.
Responsibility for the single register and ensuring DBS applications are up to date and meet guidelines as set within PROCAT’s safeguarding policy.
Responsibility for preparing appropriate confidential employee correspondence such as employment references, employee communications.
Responsibility for analysing and reporting on HR related data, identifying trends/concerns and propose solutions.
Responsibility for preparing written reports and other presentation material, as required.
Be fully conversant with UK Employment Law, statutory payments such as SSP, SMP, SAP, UPL etc and other statutory entitlements such as family friendly policies.

To support all PROCAT staff with the college’s HR procedures and ensuring that they are adhered to
Actively promote and market the college and present a positive image of the college
Working with the HR team to ensure the HR processes follow best practice and meet any legislative requirements
Ensure that the data held on the HR system is regularly reviewed and checked for accuracy
How outputs will be achieved:
HR Manager to ensure that performance of the function is monitored and corrective action taken when required
HR Manager to ensure that regular team meetings/appraisals are conducted to monitor team performance
Ensure that HR policies and procedures are regularly reviewed and adopt any required legislative changes
Ensure that regular contact and communication is maintained with senior leadership team and other PROCAT staff to keep them updated on necessary changes
Ensure that employment law knowledge for the HR team is kept up to date

Report any accidents or near misses ensuring relevant paperwork is completed in timely fashion and submitted to the Health and Safety Team
Maintenance of your Personal Protection Equipment
Level 2 qualifications in English & Mathematics
CIPD or working towards CIPD i.e. Part-qualified
Experience of working within a busy administrative office
Have experience of HR work and practices
Producing letters and documentation to a high standard
Knowledge of general office practices and procedures
Experience of prioritising workload, time - management and dealing with conflicting priorities
Have experience of working within an educational environment
Good working knowledge of UK Employment Law
Confident with current ICT skills
A sound working knowledge of Microsoft Office and Excel
Knowledge of recruitment processes
Knowledge of safeguarding processes
Working knowledge of Cezanne HR System
